WhatsApp Business for local businesses: set it up, reply faster and turn chats into customers

How a local business should use WhatsApp Business: the profile, catalogue, quick replies, click-to-chat links, the 24-hour reply window, broadcasts without spam, and when you need the WhatsApp Business Platform.

A shop owner answering a customer on WhatsApp at her counter

For a great many local businesses in India, WhatsApp is the shop counter, the phone line and the order book in one. Customers ask for prices, send a photo of what they want, check whether you are open, and book a slot, all in a chat. The businesses that do well on WhatsApp are rarely the ones with clever automation. They are the ones that answer quickly, clearly and politely, every day.

This guide covers how to set WhatsApp Business up properly, how to answer faster, and how to stay on the right side of customers and of WhatsApp’s rules.

1. Use WhatsApp Business, not a personal number

The free WhatsApp Business app looks like normal WhatsApp but adds what a business needs: a business profile, a catalogue, quick replies, greeting and away messages, and labels to sort chats. Customers see your business name and details, and you keep your personal chats separate.

2. Fill in the business profile

  • Name and picture: your business name as customers know it, and your logo, readable at a small size.
  • Category and description: what you do, in one or two plain sentences.
  • Address, hours, email and website: the questions you would otherwise answer twenty times a day.
  • Catalogue: your main products or services with a photo, a short description and, where you can, a price. Customers browse it before they ask, and you can send an item into a chat in one tap.

3. Answer fast, with quick replies

People who message a business on WhatsApp often message two or three others at the same time and go with whoever answers first. Speed is the single biggest thing you control.

  • Make one person responsible for WhatsApp during business hours, every day, and agree who covers when they are away.
  • Save quick replies for the questions you hear daily: price list, hours, location with a map link, delivery areas, how to book.
  • Set a greeting message for first-time chats, saying what you can help with and when you reply.
  • Set an away message for after hours, with your opening time, and an emergency number if your business needs one.
  • Use labels such as New enquiry, Booked, Paid and Follow up, so nobody falls through the gaps.

4. Turn chats into customers

  • Answer the question first, then make the next step easy: “Yes, we have it in size 8. ₹1,450. Shall I keep one for you till 7 pm?”
  • Send a photo or a catalogue item instead of a long description.
  • Confirm the details in writing: date, time, address, price. It saves arguments later.
  • Follow up once if someone goes quiet after asking about price or availability. Once, politely, not every day.
  • Ask how they heard of you. It tells you which posts, ads or listings bring people in.

5. Make it one tap to reach you

A click-to-chat link opens a chat with your number without the customer saving it first. It is simply wa.me/ followed by your number with the country code and no plus sign or spaces, for example wa.me/91XXXXXXXXXX with your ten-digit number in place of the Xs. Put it on your website, your Instagram bio, your Facebook page and your Google Business Profile, and print a QR code for the counter and your flyers.

6. Broadcasts without becoming spam

WhatsApp works because people trust it. Treat that trust carefully.

  • Only message people who agreed to hear from you. In the app, broadcasts reach only contacts who have saved your number.
  • Send less, and make it worth opening: a real offer, a new arrival, a festival timing change, not a daily forward.
  • Make stopping easy. Tell people to reply STOP, and respect it.
  • Watch for blocks. If many people block or report your number, WhatsApp can limit it.

Festivals are a good moment for a short, useful message; our festival marketing calendar lists the dates to plan around.

7. When the app is no longer enough

The app works well for one or two people answering by hand. When several people need to answer from one number, when you want replies drafted or sent automatically, or when WhatsApp should sit in one inbox with Instagram and Facebook messages, businesses move the number to the WhatsApp Business Platform through a provider or a tool.

  • On the Platform you can reply freely for 24 hours after a customer’s last message; after that, only with message templates WhatsApp has approved.
  • Some messages on the Platform are charged by WhatsApp, depending on the type and country.
  • A number is used with either the app or the Platform, so plan the move rather than doing it in the middle of a busy week.

8. A few things to avoid

  • Leaving chats unanswered for a day or more.
  • Sending voice notes when the customer asked a simple question in text.
  • Adding people to groups without asking.
  • Sharing customers’ numbers or chats outside your business.
  • Promising results you cannot keep. In health, finance and education, advertising rules apply on WhatsApp too.

Where Baila Lento fits

Baila Lento can connect your WhatsApp Business number to the same inbox as your Instagram and Facebook messages. Likely customers are flagged, replies are drafted for you to check and send, and simple thank-you messages can go out on their own if you switch that on. Nothing else is sent without a person pressing Send.

Questions people ask

Is the WhatsApp Business app free?

Yes. The WhatsApp Business app is free to download and use on a phone. The WhatsApp Business Platform, used by larger teams and software tools, charges for some kinds of messages, depending on the country and the type of message.

What is the difference between the WhatsApp Business app and the WhatsApp Business Platform?

The app runs on a phone (and linked devices) and suits a small team answering chats by hand. The Platform connects your number to software, so several people or tools can answer from one number, with automatic replies and message templates. A number can be used with the app or with the Platform, so moving a busy number is a decision to plan, not a click.

Can I send offers to all my customers on WhatsApp?

Only to people who agreed to hear from you. In the app, a broadcast reaches only contacts who have saved your number. On the Platform, messages sent outside the 24-hour reply window must use templates approved by WhatsApp, and people can block or report you, which hurts your number’s standing. Send less, and only what people asked for.

What is the 24-hour window on WhatsApp?

When a customer messages a business on the WhatsApp Business Platform, the business can reply freely for 24 hours from the customer’s last message. After that, it can only send an approved template. This is why answering quickly matters so much.

How do I get customers to message me on WhatsApp?

Make it one tap away: a click-to-chat link (wa.me followed by your number) on your website, Instagram bio and Google Business Profile, a QR code at the counter, and a “Message us on WhatsApp” line on flyers and posts.
